Job Description / Duties
The administrative assistant will assist in maintaining specific areas in the operations of the executive office, customer service for members and customers, and she or he will assist with other administrative duties as necessary. The administrative assistant will work as a team member with other staff to ensure all activities of NATS are of the highest quality possible and that our members are served effectively.
We seek a highly motivated individual who is organized, able to multi-task and can efficiently manage many projects simultaneously. The successful candidate will have excellent verbal and written communication skills, with the ability to interact professionally with a diverse group including executives, staff, NATS Board members, NATS members, applicants, and presenters to ensure excellent customer service is maintained.
Salary: commensurate with qualifications and experience. This is a part-time (25 hours per week) hourly position with limited benefits. Benefits include paid holidays, and participation in the NATS 401K plan after one year of employment.
Reports to: Executive Director and Director of Operations
Coordinates with: NATS Board Members, Marketing and Communications Administrator, Membership and Program Coordinator, Bookkeeper/Executive Assistant and volunteers.
Customer Service
• Respond to inquiries by phone and email; administrative assistant will be the first to answer the phone each day.
• Successfully respond to all member and customer questions in an efficient manner.
• Correspond with NATS Board Members and respond to their needs in an efficient manner.
Other Administrative Duties
• Assist staff and Board with administrative duties as needed.
• Maintain and respond to email for the info@nats.org email account.
• Assist with mailings and correspondence as needed.
• Publication and Directory Orders – assist with processing and shipping all publication orders, back issue requests for Journal of Singing, and correspondence with subscription agencies that submit claims.
• Keep publications, journals and other merchandise organized in the publications room.
• Business equipment management and office supplies – supervise and inventory supplies and equipment for office.
• Help manage database and updates as needed to assist other staff members.
• Assist with taking advertising orders for all the various areas as needed in coordination with Marketing and Communications Administrator.
• Maintain the Board of Directors roster page for the Journal of Singing.
• Maintain the regional calendar and national website events calendar, as well as day-to-day additions and corrections, etc. in coordination with Marketing and Communications Administrator.
• Additional duties and assignments as needed.
Qualifications / Required Skills
Education and Experience Requirements:
• Bachelor’s degree preferred but not required; knowledge of the arts and the singing profession a plus.
• Creative and disciplined individual with ability to work independently and without supervision as part of a team atmosphere in a non-profit small office environment.
• Must be exceptionally organized and possess excellent verbal, online, proof reading, phone and written communications skills with the ability to craft the appropriate message.
• Must be highly motivated, and have the ability to efficiently handle multiple projects, tasks, and responsibilities simultaneously.
• Proficiency and experience in: Microsoft Office applications including Word and Excel, Adobe Acrobat Professional, database and website management.
• Sensitivity to the organization’s structure and needs.
• Must be flexible in taking on additional assignments or projects as needed.
